INITIAL DISCUSSION

The project journey begins with in-depth consultations to understand your goals, requirements, and expectations. This collaborative discussion sets the tone for the entire project, allowing us to tailor our approach to your vision from the very start.

Our team collects essential project data, evaluates the scope, and explores strategic pathways for effective delivery. This phase ensures clarity, alignment, and a strong foundation for all subsequent stages.

SITE INVESTIGATION & FEASIBILITY STUDY

This critical early phase assesses the viability of your project before design begins. Our team evaluates the site’s conditions, opportunities, and constraints to determine how well it aligns with your vision.

We explore design possibilities, assess planning and regulatory considerations, and provide insights on how to optimise the project within budget and site limitations. This study lays the foundation for informed decisions and a confident path forward.

Aim:To determine whether the project is feasible in its intended form, or whether alternative approaches should be explored to best meet the client’s goals.

PROJECT ANALYSIS & NMA ADMINISTRATION
This foundational stage sets the tone for a successful project. We work closely with you to define the scope, clarify expectations, and outline the design and approvals process.

Key topics include your budget priorities, project goals, and potential to enhance property value. We also provide guidance on likely planning approvals and regulatory pathways.

To formalise the process, we present a detailed fee proposal, engagement agreement, and a clear payment structure.

Aim:To ensure full transparency and alignment from the beginning—establishing a shared understanding of your project’s vision, responsibilities, and financial framework.

CONCEPT DESIGN & FULL INVESTIGATION

This phase is where your project starts to take shape. Using all the information gathered so far, our team creates a concept design that captures your vision and explores the potential of your site.

We assess existing conditions, engage key consultants, and develop sketches to communicate the architectural direction. Regulations, site constraints, functionality, and aesthetics are considered to ensure the design is both inspiring and practical.You’ll receive a clear, visual presentation of the proposed concept, giving you the opportunity to review, refine, and approve.

Aim: To deliver a thoughtful, well-resolved concept that reflects your needs and sets the foundation for an exceptional outcome.

DESIGN DEVELOPMENT

In this stage, the approved concept is refined into a more detailed and coordinated design. We translate initial sketches into well-resolved plans, focusing on spatial functionality, external form, materials, and finishes.

Collaboration with consultants and ongoing discussions with authorities ensure that the design remains aligned with technical, regulatory, and aesthetic goals.

Aim: To advance the concept into a fully developed design that integrates the client’s vision with functional planning, material selection, and regulatory considerations — ready for documentation and further approval.

COUNCIL OR DEVELOPER DOCUMENTATION
This phase focuses on securing all necessary approvals for the proposed development, including Council Overlays (such as DDO, SBO, BMO, SLO, LSIO, ESO, HO but not limited to) or developer approvals (DA), among others. Our team prepares comprehensive documentation to support the application process and ensures compliance with all relevant regulations that apply to the site and/or development.

Aim: To compile and submit detailed documentation demonstrating full compliance with planning policies and regulations, facilitating a smooth approval process.

APPLICATION AND SUBMISSION
Building on the information and documentation gathered in earlier phases, our team prepares the complete planning application package. This includes accurately completed forms, all necessary supporting documents, and payment of applicable fees. Once submitted, the formal town planning review process commences.

Aim: To successfully present the proposed development to the council, clearly demonstrating compliance with all relevant planning regulations and policies, and facilitating an efficient approval process

APPLICATION ASSESSMENT

After your planning application is submitted, the local council will formally acknowledge it and assign a planner to assess your proposal. The planner will review the submission against all relevant planning controls, policies, and design standards.

If further information is needed or any adjustments are required, we will coordinate the necessary updates to ensure the application continues to progress smoothly.

Aim: To respond to council feedback, confirm the proposal complies with local planning regulations, and gain support for the public advertising stage of the application process.

PUBLIC NOTIFICATION (ADVERTISING)

Once all required documents are submitted, Council decides if public notification is necessary. If the proposal is unlikely to negatively affect others, advertising may not be required.

If required, notification can involve mail-outs, on-site signage, or local newspaper ads. The applicant must provide a statutory declaration confirming that advertising has been completed as directed by Council. The application won't proceed further until this is done.

Aim: To inform the local community about the proposed development and allow them the opportunity to provide feedback.

FINAL ASSESSMENT & COUNCIL DECISION

Once the advertising period ends, Council reviews the proposal, considers any objections, and prepares a final assessment.

If there are objections, Council may issue a Notice of Decision to Grant a Permit. This gives 21 days for appeals to VCAT. If no appeals are made, the permit will be issued.

If there are no objections, Council can issue the permit straight away with conditions and approved plans.

If the application is refused, a notice will be provided with the reasons, and you have 60 days to appeal to VCAT if desired.

Aim: To receive Council’s final decision and either secure the permit or take further steps if required.

CONSTRUCTION DRAWINGS & DOCUMENTATION

With final design approval and necessary permits in place, we prepare a detailed set of construction drawings and specifications. These documents are developed in collaboration with engineers and consultants to ensure accuracy and compliance across all aspects of the project.

They form the basis for quoting, permit approval, and the construction process itself.

Aim: To deliver clear, coordinated documentation that ensures a smooth transition from design to construction

INTERIOR DESIGN

Once the architectural framework is established, our focus shifts to shaping the internal experience of the space. During this phase, we work closely with the client to develop a cohesive interior design concept that aligns with the architectural vision, enhances functionality, and reflects the client’s lifestyle and preferences.

This process involves selecting finishes, fittings, fixtures, lighting, colours, textures, and built-in joinery elements. The result is a fully considered and visually harmonious interior that complements the structure and supports the intended use of each space.

Aim: To create refined, functional, and personalised interiors that enhance daily living and elevate the architectural design.

3D VISUALISATIONS
Once the project is completed, our team creates final detailed 3D visualisations to provide a realistic view of the project. These images help clients fully understand the design, materials, lighting, and spatial flow before construction. 3D visualisations support informed decision-making and ensure the final outcome aligns with expectations.

Aim: To clearly communicate the design vision and enable confident approvals through high-quality, realistic imagery.

TENDERING & PRE-CONTRACT ADMINISTRATION

Following the completion of construction documentation, we manage the tendering process by inviting and evaluating contractor bids. Our team coordinates communications, negotiates costs to ensure value for the client, and assists in selecting the most suitable contractor. We prepare and review pre-contract documentation to ensure clear understanding of responsibilities, timelines, and costs before signing.

Aim: To secure the best contractor through a transparent tender process, negotiate favorable terms, and establish a solid contractual foundation for construction.

CONSTRUCTION CERTIFICATION - BUILDING PERMIT

Construction Certification is a critical approval process conducted by the relevant authority to ensure the proposed development and all associated documentation comply with applicable building codes, standards, and regulations. Our team collaborates closely with the building surveyor to verify that all necessary contracts, insurances, certificates, and warranties are in place and valid before construction begins. If amendments or adjustments to the drawings are required, our team promptly updates the documentation to maintain compliance.

Aim: To secure all necessary approvals and certifications to enable a smooth and compliant start to construction.

CONTRACT ADMINISTRATION & CONSTRUCTION MONITORING
This phase involves overseeing the construction process to ensure the project is executed according to the approved design, specifications, schedule, and budget. Our team acts as the client’s representative on-site, coordinating with contractors, consultants, and suppliers to maintain quality control and resolve any issues that arise. We monitor progress regularly, manage contract compliance, and facilitate communication to keep the project on track.

Aim: To ensure the construction process runs smoothly, delivering the project on time, within budget, and to the expected quality standards.

QUALITY CONTROL
Quality Control is a critical phase focused on ensuring all construction work meets the specified standards, design intent, and regulatory requirements. Our team performs thorough inspections and testing procedures throughout the build to monitor workmanship and materials quality. We proactively identify any discrepancies or defects to ensure corrective actions are implemented promptly, safeguarding the integrity and longevity of the project.
